Position Summary/Objective: The Creative Communications Coordinator is responsible for supporting the VP of Creative Communications as well as the entire Creative team. 
 

This position reports to the Director of Creative Communications. 

 
Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
  1. Manage the calendar, travel arrangements, expenses and correspondence for the VP of Creative Communications.
  2. Provide administrative assistance to the Creative Communications team including scheduling department meetings, managing the department’s calendar, and tracking the team’s vacation time and managing all shipping and delivery for the department.
  3. Data entry and tracking of invoices and expenses for payment.
  4. Maintain an Excel spreadsheet tracking hours worked on projects and time off in order to coordinate the reallocation of expenses for the department and maintain the Department calendar. 
  5. Asist with the logistics of photoshoots, inside and outside events and meetings including arranging travel and catering.
  6. Source materials and estimates for special projects as assigned.
  7. Manage inventory of office and art supplies for the department, placing orders to ensure supplies are available.
  8. Serve as point person for operation and maintenance of office equipment.
  9. Maintain filing systems for group records and maintain the department’s information and records.
  10. Assist the team with proof-reading documents.
 Competencies:
  1. Minimum of one year of experience in office administration and support.
  2. Interest in or degree in media, communications, publishing, etc. a plus.
  3. Highest attention to detail and standards of excellence. 
  4. Strong planning and organizational skills.
  5. Demonstrated ability to work calmly and collaboratively in a fast-paced environment, under tight deadlines, and in high pressure situations.
  6. Creative problem solver with an ability to think, plan and execute multiple projects simultaneously.
