The First Databank (FDB) is currently seeking an Administrative Assistant for the Commercial Team comprised of Sales, Marketing, and Customer Success. This role plays a critical role in performing skilled and professional administrative support functions, often of a highly confidential nature. This individual will actively participate in day-to-day assignments as requested by members of the Commercial executive team.

     

This is a temporary position, with the possibility of a full-time conversion, based out of  the South San Francisco office.

 

Responsibilities:

  • Ensure timely accomplishment of department's objectives and projects as requested.
  • Assist in handling the department's confidential affairs.
  • Schedule and manage logistics for external and internal meetings and conference calls for  Commercial team department heads.
  • Coordinate logistics for travel (domestic and international) for department heads including flights, hotel, rental car arrangements, etc., and troubleshoot and assist with changes when necessary.
  • Screen and direct incoming calls and correspondence for Commercial Team department heads.
  • Take meeting notes and prepare letters, reports, and other documents as requested.
  • Participate in departmental and corporate projects, tasks, events and services.
  • Schedule and manage customer Webinar logistics including coordination, set-up, invitations, day-of logistics, note taking, and documentation of follow-up steps.
  • Prepare and reconcile expense reports for Commercial team department heads.
  • Schedule and manage logistics for Commercial team offsite events during annual kick-off meeting, quarterly sales meetings, and other departmental meetings.
  • Conduct customer research and data analytics projects including online research and light MS Excel analysis and documentation of findings.
  • Assist with development of PowerPoint presentations including proofreading, formatting, and coordination with other departments and individuals at FDB. 
  • Coordinate candidate interviews with HR including managing agenda documentation, scheduling, and travel logistics. 
  • Assist with creation of departmental POs, invoices, and monthly budget reconciliation


Required Skills:

  • Strong ethical values and ability to maintain strict confidentiality. 
  • Solid organizational and time management skills with a meticulous attention to detail
  • Dependable with an outstanding attendance record
  • Positive attitude and cheerful demeanor; ability to interact with other members of the FDB team in a positive and constructive fashion. 
  • Flexibility and ability to juggle multiple tasks and competing priorities.

 

Required Experience:

  • Bachelor's degree required
  • Minimum of 5 years of experience in an administrative role
  • Expert knowledge and proficiency with MS Office applications, including Word, Excel, PowerPoint, and Outlook
