Role:

Works hands-on as the primary point-of-contact for all Connecticut Media Group (CMG) facility related matters.  Responsible for all daily facility operations of CMG’s leased and owned properties; primary responsibilities include managing: maintenance programs, facility contracts, energy conservation, procurement of supplies and services, reconciliation of invoices, and facility-related expense budgets.  Works with CMG’s management team to incorporate best-practices and instill a culture of continuous improvement concerning overall facility operations.

 

Primary Responsibilities and Essential Functions:

  • Formulates and implements strategies required to maximize company's cost effective and safe operations. Investigates and implements programs designed to improve building operations and asset preservation.
  • Manages preventative maintenance programs to ensure full compliance and reporting as required by company insurance carriers, local municipalities, EPA, OSHA and all other regulatory agencies.
  • Manages the facility’s operations of all CMG leased and owned properties, which includes, but not limited to, the day-to-day operations of core utility functions and building infrastructure systems: HVAC, plumbing, janitorial services, carpentry, painting, landscaping, elevators, life safety, roofing, and all other building-related systems and components.
  • Manages annual facility’s operating budgets and capital appropriations. Responsible for approving expenditures / invoices. Responsible for monitoring and controlling monthly expenses to ensure favorable variances of all General Ledger accounts
  • Assists in the development of capital improvement programs for short-term and long-term facility needs. Prepares capital appropriation requests as required. Monitors capital budget expenditures.
  • Provides special project management and resources to support facility-related initiatives which may include, but not be limited to, build-outs, decommissioning, consolidations, and relocations of office personnel. 
  • Prepares technical specifications, negotiate and manage contracts for the purchase of equipment and supplies, maintenance/service agreements, outsourced labor contracts and general construction projects.
  • Monitors contractual agreements to ensure contractor compliance. Ensures all third-party contractors engaged in services at all CMG facilities meet Hearst-company general insurance requirements; ensures that all third-party vendors provide CMG with a valid Certificate of Insurance.
  • Establishes guidelines and monitors compliance regarding life-safety procedures, emergency preparedness programs, and business continuity planning.
  • Promotes safe work habits by conducting facility safety audits. Ensures corrective actions are taken to remedy adverse conditions.
  • Work collectively with the Human Resources department managing CMG’s Health & Safety and Workers’ Compensation programs; responsibilities include, but not limited to, leading and reviewing accident investigations, perform root cause analysis for all injuries and “near misses,” partner with outside claims administrators to gather necessary data and to support claim management process, and coordinate “return-to-work” programs to minimize employee loss time off.
  • Provides hands-on service to resolve and to improve various facility-related conditions. The rendering of hands-on services may include, but not be limited to, changing of light bulbs, painting, filter replacements, hanging pictures, lock-set replacements, carpet tile replacement, unclogging waste lines and minor plumbing, moving furniture and equipment, and miscellaneous janitorial tasks
  • Interface with landlords, municipalities, and other regulatory authorities on matters concerning company owned and/or leased properties.
  • Coordinates facility management activities with the Vice President of Facilities to ensure decisions are consistent with existing business plans, visions and operations.
  • Works in conjunction with CMG’s Human Resources and Technology teams concerning facility-related matters.
  • Position is responsible for 24/7 response to all emergencies impacting CMG leased and owned properties.
  • Other duties as required to sustain a safe, secure and efficient workplace environment for CMG employees.

 

Knowledge & Experience:

  • Four-year college/ university degree or equivalent work experience.
  • A minimum of 5-year experience supervising property management work processes and/or building operational functions within an office/ production environment (with a 4-year degree); a minimum of 8 years of experience if no degree.
  • Demonstrated experience and working knowledge in construction, engineering and other facets of building management activities is preferred.
  • Hands-on experience using basic tools and rendering minor repairs.
  • Excellent technical, interpersonal, and analytical skills required.            
  • Excellent written and oral communications skills.
  • Extensive knowledge and expertise managing third-party service contracts pertaining to mechanical, janitorial, and construction-related services.
  • Working knowledge in MS Word and Excel.
  • Understanding of building codes, regulatory issues at all governing levels, compliance codes relative to EPA, OSHA, ADA, and NFPA.
  • Understanding of Workers’ Compensation programs and its associated processed required for claim/incident  filing.
  • Must have valid driver’s license
